MaintainX is a mobile-first computerised maintenance management system (CMMS) founded in San Francisco in 2018. Platform Assessment
MaintainX organises its functionality into five core areas. Below is an assessment of each, where it performs well and where its limits become apparent.
MaintainX's work order management is the platform's strongest area. Teams can create, assign, and track work orders from any device in real time. The mobile app, rated 4.9 on iOS and 4.7 on Android, allows technicians to attach photos, log time, add notes, and update status from the field without returning to a desk. G2 reviewers consistently highlight the ease of creating and tracking work orders and the speed with which technicians adopt the mobile interface. One commonly mentioned limitation is that you cannot attach more than one asset to a single work order, which creates manual workarounds for multi-asset jobs.
For single-site and lean maintenance teams, work order management in MaintainX is hard to beat at this price point.
PM scheduling is available from the Essential tier ($16/user/month annually). You can set recurring work orders by time, meter readings, or usage, and attach standardised checklists and procedures. MaintainX also supports trigger-based PM from IoT sensor data, though IoT integrations require Enterprise tier. A limitation noted by users managing large asset portfolios is that bulk scheduling and filtering tools are not robust enough for complex, high-volume PM programmes across multiple sites. Teams managing hundreds of assets across different locations report the tools become harder to navigate at scale.
Asset profiles in MaintainX store maintenance history, linked parts, documents, and warranty information in one place. QR and barcode scanning allow technicians to pull up asset details instantly on mobile. Where MaintainX falls short is asset hierarchy. The platform supports parent-child asset relationships in principle but flattens on complex structures. For example, rolling KPIs from sub-assets to parent assets is not always clean. This matters when reporting across a portfolio of buildings or when you need a full asset hierarchy from building level down to individual components.
MaintainX supports compliance through procedure-enabled work orders, digital audit trails, and inspection checklists. You can build custom SOPs, attach them to assets, and track completion against schedules. This covers the majority of routine FM compliance requirements. MaintainX is not purpose-built as a CAFM compliance tool, so does not have dedicated modules for statutory compliance tracking, lease management, or the kind of deep audit-trail requirements found in regulated industries. Teams with complex compliance portfolios such as healthcare, public sector, or large commercial FM may find they need to supplement MaintainX with additional tools.
Advanced analytics is available from the Essential tier for a limited three-month window and unlocked fully from Premium ($49/user/month). Dashboards cover work order completion rates, asset downtime, cost tracking and team performance. A recurring theme in user reviews is that reporting customisation is limited. Users who need to configure their own KPI views, create cross-site comparison reports, or build complex filtered dashboards find the out-of-the-box reporting sufficient for standard use but restrictive for more advanced needs. Exporting to Power BI or Google Sheets helps bridge this gap.

Key cost consideration: Parts inventory management and purchase orders are only available on Premium ($65/user/month annually). SSO and IoT sensor integrations are Enterprise-only, with custom pricing. A 10-seat team on Premium billed annually pays approximately $7,800 per year.
