Schedule a demoCaps Group is a market leader in the furniture, installation, and fit-out solutions sector for retail and hospitality, operating in 75 countries. Alongside an extensive network of suppliers, the group has a production factory in Poland and works with brands like Claire’s, Le Creuset, and Harley Davidson.
In 2016, they expanded their services into maintenance, seeking digitalisation as support for this new business area.
With an expanding operation, Caps Group needed a digital solution to efficiently manage their maintenance network and suppliers. The ERP SAP, which they were using as an improvised CMMS, was unable to offer the specific features required for maintenance management, being more suited to financial tasks.
The lack of adequate reporting and real-time data created additional challenges, hampering agile operations and visibility into the state of operations. The need for a dedicated solution became clear.
"In terms of ease and speed of accessing information, [the data] is definitely more accessible. Anyone can access the platform and quickly find what they are looking for in real-time."
After a market analysis, Caps Group chose Infraspeak to transform their maintenance operations. The platform stood out for its flexibility and ability to integrate different modules, offering people-centred solutions.
The implementation immediately improved workflows, with real-time centralised data, eliminating inefficiencies caused by the previous system. The platform also streamlined the management of a vast network of suppliers through Infraspeak Network™, connecting everyone involved in a shared workspace.
In addition, Infraspeak contributed to improving the company’s internal culture by ensuring that the maintenance teams had quick and easy access to information, supported by an efficient customer support system. The collaborative approach to platform integration resulted in increased satisfaction and productivity, reducing unnecessary effort.
Finally, the introduction of Infraspeak Network™ was key to boosting the efficiency of supplier management, with 50% of the network already adopting the system. Real-time data sharing made communication more agile and eliminated errors, proving to be a true win for all parties involved.
With Infraspeak already integrated into the operation, the next step will be to expand the platform’s use to include new suppliers, maximising the efficiency of managing all global operations. The team is also exploring integrations with advanced data analysis tools such as Power BI to generate deeper insights and help optimise decision-making processes.
The group plans to continue reinforcing its people-centred culture by investing in ongoing training to ensure that all team members are fully prepared to make the most of the platform. The partnership with Infraspeak will also pave the way for new features, such as two-factor authentication, further enhancing the system’s security and reliability.
